This Privacy Policy explains how Ibn Sina Doctor Appointment (the “App”), developed and operated by BizIT Solutions Ltd. (“we”, “us” or “our”), collects, uses, shares and protects user information — including health-related appointment information — and how you can exercise your rights. This policy is intended to meet Google Play’s Health Content and User Data requirements.

1. Scope & Definitions

Scope: This policy applies to the mobile App only. It covers personal data and health-related appointment information submitted through the App.

Definitions:

  • Personal Data: identifiers such as name, phone number, email, and device identifiers.
  • Health-Related Appointment Information: data about bookings, appointment dates/times, chosen doctor or department, and other limited service details required to schedule healthcare visits. This is considered health-related data for the purposes of Google Play’s policies.

2. What We Collect

  • Personal & Appointment Data (collected when you provide it): full name, phone number, email address (optional), appointment date/time, selected doctor/department, notes you include with a booking.
  • Usage & Diagnostics: device model, OS version, app version, crash logs and anonymized analytics to improve the App; these are not linked to your health-related appointment details unless you provide identifying information.

3. Legal Basis & Consent

Where applicable, we rely on the following:

  • Consent: You provide explicit consent by entering appointment information and submitting a booking request through the App.
  • Contractual Necessity: Processing is necessary to provide appointment booking services you request.
  • Legal Compliance: When required to comply with laws or regulations.

4. How We Use Your Information

We use the collected data only for the following purposes:

  • To book, confirm, modify, cancel, and manage your medical appointments.
  • To communicate appointment reminders and confirmations by phone, SMS, or email if you provided contact details.
  • To share appointment information with authorized healthcare staff so they can prepare for your visit.
  • To maintain and improve the App, investigate issues, and analyze aggregate usage.

5. Data Sharing & Recipients

We do not sell or rent your personal data. We may share data only in the limited circumstances below:

  • Healthcare Providers and Staff: Appointment details are shared only with authorized Ibn Sina Diagnostic & Consultation Centre personnel required to manage your appointment.
  • Service Providers: Third-party vendors (for example, hosting, SMS/email gateways, analytics) who process data on our behalf under contract and are required to protect it.
  • Legal Requests: When required by law or to protect rights and safety.

6. Sensitive & Health Data Handling

Google Play treats appointment information as health-related. We treat such data with enhanced protections:

  • We limit the amount of health-related data collected to what is strictly necessary to schedule and manage appointments.
  • We only share health-related appointment details with authorized clinical staff and processing providers under confidentiality obligations.
  • We do not collect medical diagnoses, treatment details, or medical records through the App unless explicitly required and disclosed to you with separate consent.

7. Data Retention

We keep personal and appointment data no longer than necessary to provide the service, comply with legal obligations, resolve disputes, and enforce our agreements. Typical retention periods are:

  • Appointment records: retained for a minimum period required by local healthcare record keeping policies or as needed to provide follow-up services.
  • Diagnostics/analytics: retained in anonymized or aggregated form for product improvement.

8. Security Measures

We implement reasonable technical and organizational safeguards, such as:

  • Access controls and role-based access for staff.
  • Transport encryption (HTTPS/TLS) for data in transit.
  • Encryption and secure access controls for stored data where feasible.
  • Regular security assessments and limited retention policies.

However, no system is perfectly secure; we notify affected users and authorities as required by law in the event of a data breach.

9. Your Rights

Depending on your jurisdiction, you may have rights including:

12. Data Safety / Google Play Guidance

Important for Play Console submission:
  • When completing the Health apps declaration, classify the app as a health/medical service app that processes health-related appointment information.
  • In the Data Safety form, declare that you collect: Contact info and Health & fitness / Health-related information (appointment details) if you store appointment data. Mark that data is shared with Healthcare providers and Service Providers as needed.
  • State that data is used for app functionality (booking and managing appointments) and that users consent when they submit appointment data.

13. Changes to This Policy

We may update this policy from time to time. We will post the revised policy with a new “Effective date.” Continued use of the App after changes indicates acceptance.
